This Privacy Policy explains how Qubex Solutions (“we”, “us”, “our”) collects, uses, shares and protects personal data when you visit qubexsignage.com, contact us, or use the Qubex Signage managed digital signage service.

We handle personal data in line with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 and its Rules, as they come into force.

1. Who we are

Qubex Signage is a managed digital signage service operated by Qubex Solutions, Office No. 347, Third Floor, Grand City Plaza, Pakhowal Road, Ludhiana, Punjab 141001, India. For the personal data described in this policy, Qubex Solutions decides why and how the data is used.

2. Personal data we collect

When you contact us. If you call, WhatsApp, email us or use our enquiry form, we receive the details you share, such as your name, phone number, email address, business name, city, industry, number of screens and your message.

When you submit our website enquiry form, your details are sent by email to our inbox (info@qubexsignage.com). They are not saved in a database on our website. If you choose “Send on WhatsApp instead”, WhatsApp opens with your message filled in, and we receive it only if you send it.

When you use Qubex Signage. To provide the service we process account details of your users (such as name, email address, username and role), sign-in and activity records, display and player information (such as display name, location, status, IP address and last check-in time), playback and proof-of-play records, and the content you upload.

When you visit our website. Our web host may automatically record technical information such as your IP address, browser type, pages visited and the date and time of your visit, for security and to keep the site working.

3. How we use personal data

• To reply to your enquiry, arrange demos and prepare quotations
• To set up, host, operate, support and maintain the Qubex Signage service
• To manage user accounts, access permissions and security
• To monitor screens, send service alerts and provide proof-of-play reports
• To issue invoices and keep business and tax records
• To protect our systems, prevent misuse and meet legal obligations

We do not sell personal data. We do not use your uploaded content for any purpose other than providing the service to you.

4. Basis for processing

We process personal data with your consent (for example, when you send us an enquiry), to perform our contract with you or your organisation, for legitimate uses permitted by law, and to comply with legal requirements. You may withdraw consent at any time by contacting us; this does not affect processing already carried out.

5. Content and personal data you upload

Customers decide what content and user information they upload to the Qubex Signage CMS. Where that content includes personal data of other people (for example, staff photos or guest names on a welcome screen), the customer is responsible for having the right to use it and for informing those people. We process such data only to provide the service on the customer’s instructions.

6. Who we share data with

We share personal data only where needed to run our business and the service:

• Hosting and infrastructure providers that host our website and CMS servers
• Communication services such as WhatsApp and email providers, when you contact us through them
• Software providers such as Xibo Signage Ltd, where required for player licensing or technical support
• Professional advisers such as accountants and lawyers, under confidentiality
• Authorities, where required by law or to protect our legal rights

Our website loads fonts from Google Fonts, which means your browser connects to Google servers and shares your IP address with Google. Links to third-party sites (such as WhatsApp, Instagram or Xibo) are governed by those sites’ own privacy policies.

7. Cookies

Our website does not use advertising or analytics cookies. If we add analytics or similar tools in future, we will update this policy and, where required, ask for your consent.

8. Where data is stored

Personal data is stored on servers managed by Qubex Solutions and our hosting providers. Some service providers may process data outside India. Where this happens, we take reasonable steps to make sure the data is protected and that the transfer is permitted under Indian law.

9. How long we keep data

We keep personal data only as long as needed for the purposes above. Enquiry details are kept while we are in discussion with you and for a reasonable period afterwards. Service data is kept for the duration of your service agreement and then deleted or returned as agreed, except where we must keep records for legal, tax or accounting reasons.

10. Security

We use reasonable security measures to protect personal data, including access controls, role-based permissions, encrypted connections where supported, and regular backups. No system is completely secure. If a personal data breach affects you, we will inform you and the relevant authorities as required by law.

11. Your rights

Subject to applicable law, you may ask us to:

• Tell you what personal data we hold about you and how we use it
• Correct, complete or update your personal data
• Erase your personal data, where we no longer need to keep it
• Withdraw consent you have given
• Nominate another person to exercise your rights on your behalf in case of death or incapacity
• Raise a grievance about how we handle your data

To make a request, email info@qubexsignage.com. We may need to verify your identity before acting on a request. If you are a user of a customer’s CMS account, we may refer your request to that customer.

13. Children

Our website and service are meant for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18.

We may update this policy from time to time. The latest version will always be on this page with its “Last updated” date. Where changes are significant, we will inform customers directly.
